Preparing for Your Machine Delivery and Installation: A Friendly Guide

At Impulse Vending, we strive to ensure a smooth and efficient experience when delivering and installing your new vending or catering equipment. To help you get ready, we’ve compiled a handy checklist of steps to follow. Keeping these points in mind will save time and make the installation process seamless.

Key Information About Warranties and Engineering Services

  • For machines covered by Parts Only warranties, engineering services are available on a call-out basis. For additional details, please refer to [this link].

  • Machines protected by Parts & Labour Inclusive warranties are subject to Terms & Conditions. Find out more.

  • All hot drink machines must have approved water filtration systems installed during setup to maintain optimal performance. For guidance, check.

  • Don’t forget to replace water filtration cartridges every six months to keep your machine running efficiently. Explore filtration options.

Please Note: Warranties for cashless payment systems are managed directly by the payment system provider.

 

Machine Deliveries: What to Expect

  1. Site Survey Form: Shortly after placing your order, you’ll receive a Site Survey Form to complete and return.

  2. Delivery Notification: We’ll confirm your delivery date upon receiving the completed form.

  3. Engineer Scheduled: Your machine installation and user training session will be scheduled on the next available working day after delivery.

  4. Specialized Courier Service: Your machine will be delivered by an experienced courier team, who will carefully position it according to the Site Survey Form.

  5. Inspection: Check the packaging for signs of damage during transit. Upon unpacking, inspect the machine for visible issues and notify Breaktime Coffee and Vending Ltd of any concerns.

  6. Engineer Attendance Confirmation: We will promptly confirm the date for your engineer’s installation visit.

Important: Avoid connecting your machine to any services (electricity or water supply) before the engineer arrives.

 

Preparing for Installation: Client Responsibilities

For All Machines:

  • Ensure there is a 13-amp electric socket within 1 meter of the machine's placement.

  • Have the machine and all necessary ingredients or consumables ready at the installation site.

  • If your machine includes a coin mechanism for change, prepare a cash float of 20–30 coins of each denomination.

For Mains Water-Connected Machines:

  • Verify there is a mains water supply connected to a ¾” BSP isolator valve within 1 meter of the machine’s location.

  • If hoses need to pass through obstacles, make sure there’s a 1” hole for smooth access.

  • Machines requiring fresh or liquid milk will need 8 liters on-site for calibration.

User Training Session Checklist

To make the most of your training session:

  • Have at least two people present who can take notes during the session.

By the end of the training, your team should feel confident in:

  • Filling product containers correctly.

  • Disassembling and cleaning the machine’s components, including brewers and fridges, and reassembling them properly.

  • Identifying parts that require cleaning and setting cleaning schedules.

  • Carrying out manual cleaning or flushing processes.

  • Adjusting selling prices on payment systems (if installed).

  • Replacing water filter cartridges as needed, typically every 6–12 months.

  • Resolving and resetting common error codes, with guidance provided by the engineer.

  • Managing the coin mechanism, including filling and emptying the cash float, and clearing coin jams.

  • For hot drink machines, verifying drink selection settings for cup level and strength.

Before confirming the installation is complete, review all the above tasks with your engineer. Make sure to store manuals and training notes securely for future reference.
